    Overview

    The Administrative Assistant is responsible for office responsibilities as well as assisting employees in other locations. Administrative Assistant will serve as backup for Receptionist / Office Manager for the Piscataway location. 

    Responsibilities

    • Greets visitors, Assist with Kiosk check in
    • Responsible for answering phone calls, Voicemail, Faxes, Set up Outlook meetings
    • Process incoming / outgoing mail , Logging daily packages, FedEx packages / Daily invoices and checks 
    • Maintain Certificate of Insurance log book / spreadsheet
    • Responsible for appearance of Office areas, Factory Hallway Supply area
    • Back up for coffee counter organization, sanitize and restocking
    • Manage “Got Lunch?” program / Group lunch orders / Lunch Pickups
    • Knowledge of all showroom products and ability to present within first 30 days
    • Maintain stocked medical safety kits throughout the office and factory
    • Set up new hire stations / packets - Stock FedEx areas and office stationery cabinet
    • Ordering and auditing office / medical supplies
    • Locker maintenance / Tracking
    • Run errands ( Wal-mart / Dollar Store / Bank/Post Office)
    • Maintain master key system
    • Special Projects – Reception area TV monitor, Café sign holders,
    • Refurb Program  Assistance
    • Event Planning - Set up meeting rooms for trainings, Picnic, Kids Day
    • Travel – Amex flights / Hotel / Car Service / Uber transportation and Tracking
    • Cell Service for all US Humanscale employees (Ordering, stock, track, audit)

     

    Qualifications

    MINIMUM QUALIFICATIONS:

    • Candidate will have 1-2 years administrative experience
    • High school diploma or equivalent
    • Working knowledge of MS OFFICE - Excel/Word/PowerPoint/Outlook - are required

     

    ADDITIONAL QUALIFICATIONS:

    • Knowledge and/or experience in office furniture or related industry, a plus
    • Excellent written and verbal skills
    • Lifting up to 40 Lbs.
    • Driver’s License
    • Must speak and write in Spanish
