Overview

The Benefits Manager owns and drives the planning, development, implementation and administration of employee benefit programs in North America, including medical, dental, vision, 401k, voluntary benefits, and leaves of absences (FMLA/ADA/Personal), as well as for Canada. Develops and maintains open and positive communication and provides day-to-day support on all benefit inquiries. This position will work a hybrid office/remote schedule (4 days in office/1 day remote).

Responsibilities

  • Serves as primary contact for employee inquiries regarding all medical, dental, vision, 401k, voluntary benefits, and leaves of absence
  • Ensures company-wide benefit plan compliance
  • Makes changes to participants’ benefits upon hire and/or termination
  • Manages all aspects of the annual open enrollment process (NA) and new hire enrollments:
    • Drives the final selection process for our benefits plans and vendors; partners with existing brokers to evaluate plans, renewals and contract negotiations
    • Prepares and delivers benefits presentations with the brokers
    • Counsels and trains employees on the different benefits programs, including plan features, eligibility and premium information
    • Prepares, distributes, and receives materials and forms from all employees
    • Reviews and confirms all benefit enrollments
    • Audits, reviews and verifies employee benefit elections and changes
    • Conducts audits of enrollment changes and works in ADP as the benefits administration system
  • Researches and evaluates market trends to ensure the competitiveness of the benefits package
  • Analyzes and reconciles benefits bills/invoices; reconciles benefit statements
  • Works closely with insurance providers and insurance brokers; provides required enrollment information as necessary, such as statistical and census data
  • Determines the appropriate communication strategy for educating employees on the benefits programs (e.g., Open Enrollment, 401(k) plan, supplemental plans, etc.)
  • Assists with the development and implementation of health and wellness initiatives
  • Manages and acts as primary contact for all benefits audits and testing
  • Processes FMLA and state disability claims, as well as 401(k) loan requests
  • Oversees manual premium payments for employees on leave
  • Maintains ACA compliance; manages the annual 1095-C preparation and reporting processes
  • Submits biweekly vendor funding for HSA, FSA, and Commuter Benefits
  • Assists with disability accommodations by ensuring all requests are reviewed and that they adhere to the requirements of the Americans with Disability Act and EEOC regulations
  • Ensures all leave documents are up-to-date and compliant with current and future legal, regulatory and compliance codes
  • Works with the third-party administrator to provide timely notice to employees under the requirements of COBRA
  • Assists with all benefits-related special projects

Qualifications

  • Bachelor’s degree in a related discipline
  • 5-7 years of experience in administering and managing benefits
  • Extensive knowledge of employee benefits and applicable laws
  • Extensive knowledge of leave of absence, including but not limited to FMLA, ADA/Interactive Process, Workers Compensation, etc.
  • Knowledge pertaining to ERISA, HIPAA, ACA, Safe Harbor, 5500 compliance and other regulatory protocols
  • Excellent written and verbal communication skills

  • Ability to manage changing priorities, multiple deadlines and competing demands
  • Ability to maintain the highly confidential nature of HR/benefits work

  • Ability to take initiative, execute and work independently with minimal supervision
  • Previous experience managing benefits for Canada a plus
  • Bi-lingual (English/Spanish) a plus

COMPUTER SKILLS

  • Experience with ADP Workforce Now
  • Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook) / Computer proficiency
